Share the right record with the right person
Confirm contact details before sending access links. A client-facing view should show that client’s information, not the internal notes or records of another person.
Keep changes visible
When an appointment or project changes, check that the client-facing information reflects the agreed update. Include a clear way to ask a question if the record is incomplete.
Separate requests from approvals
Design feedback and a change request still need studio review. Do not treat a message as an approved reschedule, completed payment or signed consent unless that action has actually been completed.
Test access before relying on it
Use a sample client to check what can be viewed and changed. Access depends on the account and connected services; retain an alternative contact method for clients who cannot use the portal.
